Our client, a leading pharmaceutical company, is hiring an Executive Assistant on a contract basis.

Summary

The Executive Assistant will provide an efficient and value enhancing administrative service and office support activities to the Global Inclusion and Diversity Leadership team

 

Responsibilities will include (but not limited to):

 

• Support the Executive directors and leadership team in managing their itineraries (including setting up meetings), daily workload and facilitating their requirements in ensuring all requests are managed in a confidential, professional, and efficient manner.

• Management of onboarding for new hires (staff and contractors) and vendor access to the organization

• Support logistical coordination of large events i.e.: Townhall, office hours and team building activities

• Knowledge management: Populate and organize Share point and keeping the Share point site up to date (Metrics

etc.)

• Management of Travel Expenses using Concur

• Coordination of key corporate visits, register external guest using system VisitorNet

• Assist in the preparation of presentations using Microsoft Suite of application (e.g. Power point, Word and Excel).

• To organize and coordinate leadership meetings (Governance, quarterly meeting) as required including setting up

and sending out agenda and pre-reads ahead of meetings.

• Take Meeting Minutes and Follow up on Action Items

• Candidate should be able to manage multiple activities within tight timelines

• Effectively and clearly communicate (verbal and electronically)

• Facilitate positive interaction with diverse groups of teams

• Be flexible and adapt to the needs of the team

• Successful candidate will be able to build relationships with cross functional teams

• Demonstrate a sense of urgency and a track record of consistently meeting timelines

• Strong results orientation & attention to detail

 

Education and Experience:

 

• Bachelors Degree is preferred

• Must be able to work in a very fast paced and busy environment

• High proficiency with MS Suite. Specifically, Excel, Outlook, SharePoint, and Power Point

• Experience with Concur would be an asset

• ARIBA experience is a plus

• Demonstrate an inclusive mindset and role model inclusive behaviors

• Problem solver who can think on their feet and be solution focused
